How to choose which details appear on your org chart

Choose card details, create custom fields, and keep stored information off the chart when it does not belong in the presentation.

Org Chart Studio separates stored data from card presentation. Hiding a field from cards keeps its values. Deleting a custom field removes the field and its stored values from the chart.

Open People, then choose Card preview. The preview shows a sample card and how many of its 4 content lines are in use.

On a phone, Card preview is the main place to choose what appears on cards and manage custom fields. On a wider People table, it controls card content while field definitions are managed from the table header.

Under Shown on card, switch Title, Department, Email, or a custom field on or off. These card-content choices apply directly to the chart.

Name always appears. A card can show 4 content lines in addition to the name, including up to 3 custom fields. If a switch is unavailable, turn off another line first. The editor explains which limit you have reached.

Turning off Email removes it from cards; stored addresses stay in People.

Add a custom field

Use custom fields for chart-specific facts such as Location, Cost center, or Start year.

On a phone:

  1. Open People > Card preview and choose Add field.
  2. Enter a Field name.
  3. Choose Add field. The new field appears in the Card preview list.
  4. Use the controls below the field to choose Text or Number and Truncate or Wrap. Switch Show on card on if the field belongs on the chart.
  5. Return to People and open a person. Enter the new field's value, then choose Save changes.

On the wider People table, choose Add field in the table header. This desktop form lets you choose Text or Number and Show on card before you add the field. Enter values in the new table column, or open the full person editor and choose Save changes.

Cancel closes the form without creating the field.

A chart can have up to 5 custom fields. A Number field accepts numeric values. If existing values are not numeric, Studio will not change that field from Text to Number.

Custom fields belong to the current chart. Creating “Location” in one chart does not create it in your other charts.

Keep a field in the table but off the cards

Leave the field available in People and switch it off under Shown on card. Card preview with Department switched off. The sample card shows the name and title, and the content-line count has changed from 2 to 1.

Close Card preview and the departments are still in People: Management, Kitchen, and Service. The crossed-out eye in the Department header means the field is hidden on cards. Switch it back on to show the same values again.

On the desktop chart, Themes > Edit > Content also has a Table switch for custom fields. It controls whether the field's column appears in the People table. Card visibility and table visibility are separate. A hidden table column still exists, and its stored values remain.

The compact workspace supports people, fields, and Card preview. Full visual theme design, such as colors, typography, card shapes, and connectors, remains a desktop chart task.

Rename or delete a custom field

In compact Card preview, find the custom field under Shown on card and choose its rename control. On the wider table, use the field control in its column header. Enter the new label and choose Rename. Renaming changes the label and keeps the values.

Because Boston is text, changing Office from Text to Number is rejected. The field stays Text and the saved value remains available:

Choose the delete control to remove a field. The confirmation tells you how many people have a value in it. Delete field removes the definition and those values from this chart. Cancel if you only meant to hide it.

Show or hide avatars

On the desktop chart, open Themes > Edit > Avatar and change Show avatars. Or use LayoutAvatars. Check the result at the card size you will export.

The avatar setting controls whether cards reserve and draw the avatar area. It is separate from the person's name, fields, and reporting relationship. Card preview always shows its sample avatar, so use the desktop chart preview to judge the chart-wide avatar setting.

Can I upload a different picture for each person?

Studio does not currently provide a person-picture upload control. The avatar controls change the chart-wide initials treatment: whether avatars appear, their size and placement, and the fill, letter, ring, and shape styling. They do not attach a photo to an individual person.

Keep the person's name in the record so the initials remain useful. If individual portraits are required in the finished document, export the chart first and add the pictures in the destination application. A PNG or PDF is fixed artwork; an editable PowerPoint export is the practical choice when you need to add and position pictures on individual cards afterward.
