How to make a large org chart easier to read

Use card content, spacing, team arrangement, zoom, Fit, search, and People to work with a large org chart.

  • how-to

Start by reducing what each card carries, then tune arrangement, then use viewport controls. Do not expect every card on a 300-person chart to stay readable at once on a laptop.

Reduce the content before shrinking the chart

Show only the details people need for this version of the chart. Open People > Card preview and turn off card fields that do not help the reader. Names always remain; title, department, email, and custom fields can be controlled separately.

On the desktop chart, hide avatars in Layout when names and titles matter more than portraits.

Hiding a field from cards keeps its stored values. Maintain the data in People.

Change spacing and team arrangement

Open Layout on the desktop chart. Spacing runs from Roomy through Comfortable, Balanced, and Cozy to Compact. A tighter setting fits more of the hierarchy into the same view; a looser setting gives cards and connectors more breathing room.

Use the arrangement choices for managers with several direct reports at the end of their branches:

  • Classic keeps the conventional tree arrangement.
  • Stacked, Hang Left, Hang Right, and Double Hang arrange those direct reports in different ways.
  • Auto lets Studio choose an arrangement.

Spacing and arrangement change the drawing, not the reporting structure. No one gets a new manager because you chose Compact.

Both examples contain the same 26 fictional people and use the Professional theme, the same card size, and the same text size. Only the team arrangement changes.

Classic arrangement for a fictional 26-person organization. 5 teams run across one very wide row, so the full chart becomes shallow and card text is small when the image is fitted to article width.

Classic keeps each team’s 4 reports in a row. With 5 teams, the full chart becomes wide, and names are harder to read when it is fitted onto a page.

Stacked arrangement for the same fictional 26-person organization. The same 5 teams run across the page, while each team’s 4 reports form a vertical stack with larger readable cards at article width.

Stacked places each manager’s direct reports in a column. Fitting this narrower drawing to the same page leaves more room for each card. Choose the arrangement for the space where people will read the chart; the reporting relationships stay the same.

Zoom, pan, and recover the whole chart

Use the minus, plus, and Fit controls below the chart. Their accessible names are Zoom out, Zoom in, and Fit to view. Fit adjusts the chart's zoom and position for the available canvas. Very large charts may still need more zooming out or panning.

Use minus to zoom out, plus to zoom in, or Fit to bring the chart back into view.

Drag an empty area of the desktop canvas to pan. If the page itself has been magnified on a touch device, Studio may offer Fit chart and ask you to pinch inward to restore the page.

Viewport zoom changes your working view. It does not make card text larger in an exported page. For export readability, choose an appropriate branch, depth, page arrangement, and output size in the export workflow. Guests sign in before Export opens; the people count in the selected branch and depth determines whether an active pass covers that export. A new pass can have a higher minimum when the account contains a larger saved chart.

The export guide's matched large-chart examples show the same fictional chart as a wide whole-chart page, a focused manager branch, and a paginated team page. Use them to judge which structure matches the way your reader will use the file.

Find a person instead of scanning every box

Open People and use Search people. Match name, title, department, email, or a custom-field value. The list narrows as you type. Clear search to restore the full list.

People is also the main workspace on compact screens. It supports search and field editing without the desktop canvas.

A practical order for crowded charts

  1. Hide card fields and avatars you do not need.
  2. Try Cozy or Compact spacing.
  3. Compare Auto with a hanging arrangement for wide teams.
  4. Choose Fit.
  5. Use Search people in People for detailed work.
  6. Configure the export for its final page or slide instead of relying on canvas zoom.
